Vendor Management & Timeline

– Unlimited email/phone consultation for up to 45 days leading up to your big day
– Provide Hawaii-Day Preferred Vendor list and Recommendation
– Attend vendor meeting for all logistical needs (If desired)
– Collect all the invoices and contact information from client
– Establish contact ASAP with all vendors and venue
– Creating the detailed and informative custom wedding day timeline
– Timeline distribution to all vendors prior to the wedding

Communication with everyone

– Confirm with all vendors and venue with all the details prior to the wedding
– Final vendor confirmation and giving room number
– Use of the coordinator’s address as the shipping address when the clients order things online and storing them until the wedding day (storage period: 2 weeks before the event. If desired, optional service.)
– Provide local weather update (within the wedding week)
– Prepare weather backup plan with venue & vendors, if necessary

Rehearsal & Meeting

– The day before (or 2-day before), coordinate ceremony rehearsal and wedding briefing
– Collection of necessary items (favors, signage, menu cards, programs, place cards, photo frames, guest book, etc.), carrying them to the venue, and setting up

Wedding Day Coordination

– Oversee and manage wedding day installation with all vendors and venue
– On site direction of wedding ceremony, cake-cutting, photo shoot, etc. until the clients leave the venue
– Personal attendant (escort) service for the bride to take care of every need throughout the wedding day
– Organize and set up escort cards, place cards, table number cards, favors, and other table setting elements according to the decor detailed plan and diagram

Wedding Day Coordination (continue)

– Serve as point person for all vendors, banquet captain/caterer, and MC – cueing timing throughout event
– Cue all music with band/DJ/Audio Visual
– Manage and remedy all moment-to-moment challenges
– Collect and secure all wedding items at the end of the ceremony
– Oversee wedding day breakdown and clean-up
